Refresh your Workshare 9.5 license

If you've purchased or renewed a license and your expired license entitlement hasn't automatically refreshed, you can force the license entitlement to update.


Scenario

If your Workshare trial has ended or your paid license has expired, you'll receive notifications saying that your license needs to be up to date when you try to access Workshare functionality.

The full notification says: "Your Workshare license expired on [date of expiry] and your software will stop working soon. To keep using Workshare, your license needs to be updated."

If you were on a paid license, you'll see these notifications:

  • ​Your Workshare license expired on [license expiry date] and your software will stop working soon. To keep using Workshare, your license needs to be updated.

  • You do not have a current license for Workshare. To use Workshare you need an up-to-date license.

  • You do not have a current license for Workshare so your email will be sent without Workshare protections. To use Workshare, you need an up-to-date license.

If you were on a trial of Workshare, you'll see these notifications:

  • Your Workshare trial will end on [trial expiry date]. To continue using Workshare after this date, you will need to have a current license.

  • Your Workshare trial has ended. We hope you find Workshare useful. To continue using Workshare, you need to have a current license.

If you've renewed your Workshare 9.5 license, the license entitlement on your computer will update automatically and you'll be able to continue using Workshare and will no longer receive these notifications. If your license hasn't updated automatically, follow these steps to for the license update.

Resolution

1. Click the Refresh button in the Workshare Configuration Manager

  1. Launch the Workshare Configuration Manager (Start > Workshare Configuration (User Mode)).

  2. Click the My Products tab.

  3. Click the Refresh button.

    The latest licensing entitlements will be retrieved and installed on your computer. Check the subscription expiry dates on the My Products tab of the Workshare Configuration Manager to see if your license is up to date. If it's not, try the next resolution.

2. Ensure you're on the latest version of Workshare 9.5, Compare 9.5 or Protect 9.5

  1. Close all Workshare and Microsoft Office applications.

  2. Launch the Workshare Configuration Manager (Start > Workshare Configuration (User Mode)).

  3. Check the number displayed to the right of the word Build at the bottom of the Workshare Configuration Manager. To find out what the latest build of Workshare is and how to upgrade to the latest build if you're not on it, see this KB article: Workshare 9 Latest Update.
If you're on the latest build and the problem's not resolved, try: 3. Sign out of Workshare and sign back in.

3. Sign out of Workshare and sign back in

  1. Close all Workshare and Microsoft Office applications.
  2. Launch the Workshare Configuration Manager (Start >  Workshare Configuration (User Mode)).
  3. Select the My Products tab.
  4. Click Sign out.
  5. Close the Workshare Configuration Manager.
  6. If you're using Workshare 9.5 or Compare 9.5, double-click the Compare application on your desktop. You'll be prompted to sign in.

If you're using Workshare Protect, open Outlook and create a new email with an attachment. If a panel opens to the right of the email prompting you to sign in, click Sign in. If a panel does not open, send the email and you'll be prompted to sign in.

  1. Enter your email address and password.
  2. Click Sign in.
  3. Test to see if the issue's resolved.

4. Manually remove the expired license key

If the solutions above aren't working, you can manually delete the outdated license keys from the registry. You'll need administrative privileges to do this.

Note: The registry is not backed up automatically so changes to the resgistry cannot be undone. If you're not familiar with modifying the registry or you'd like assistance, please contact Workshare Support.
